This is my small business I built from the ground up. On the Grind Coffee is an event only mobile coffee cart, usually booked out up to four months in advance. Having the ability to work hard and well under pressure is critical for this business. The business is built off the back of relationships, networking, and reputation, therefore communication and customer service skills have been panicle in making this business a success. I recently sold this as a profitable successful business to focus on Nicole Rose Business Solutions.
My role at the Ministry started as a six-week contract and morphed into full-time employment. I have been involved with a range of projects supporting different senior leaders. My ability to build efficient processes and create well organised structures has been drawn on significantly. I have provided executive assistance and process development and implementation to three executive leaders within the ministry, in addition to my key role as the Executive Assistant to the Chief of Staff. I have been called upon to lead several projects, provide strategic advice and implement SLT subcommittees, including providing secretariat duties and training other staff to take on these roles.
I managed a diverse range of responsibilities including finance and the overall school yearly budget as well as administering the full staff payroll. I assisted the principal with recruitment and onboarding of new teaching staff, including where we were recruiting staff from overseas. I managed all contracts pertaining to property maintenance and ongoing major construction works, reporting to the Board as required. In addition, I functioned as the Executive Assistant to the Principal and Board of Trustees, overseeing office administration, managing stakeholder relationships and acting as a key member of the Naenae College Resource Committee. I had five direct reports (three office staff and two maintenance staff), and I was responsible for the overall business operations across departments and the school.
I conducted project planning, budgeting, and managed the projects overall administration, including coordinating the project steering group and consulting with internal stakeholders. As the project came to its completion, I managed the event, planned and coordinated the travel for those outside of Wellington, and prepared all conference materials in collaboration with the Communication and Engagement Advisor. In addition, I assisted the Director of Change and Capability as needed and prepared project templates and other administrative to ensure successful project execution.
Provided daily updates to the CEO, managing all correspondence, and developed annual corporate governance planning for the Board, various sub committees, and Executive Leadership meetings. I acted as the Company Secretary and assisted the Executive Leadership Team in preparing meeting papers, took minutes for board and board subcommittee meetings, and gathered background information for presentations and the CEO’s external engagements. I managed domestic and international travel for the CEO and Chair, while collaborating with the Communications Manager to execute the CEO’s stakeholder engagement strategy. I was key to managing all internal and external events that required contribution by the office of the CEO, including where we had VIPs and government officials visiting the Port.
I provided executive support to the General Manager and National Operations Manager, managing travel (including travel for the entire Truckstops staff network), diaries, and calendars. I coordinated projects, regional management meetings, and SLT meetings. I was the line Manager of the Head Office Receptionist, providing training and mentoring as a senior administrative staff member. I provided assistance to Regional and Branch Managers as required, acting as their key communication point with the Operations Manager. I managed supplier relationships – including our head office key supplies. This role was not a typical EA role, I had several projects and internal and external relationships to manage and was responsible for our yearly national conference calendar. This included the planning, organisation and management responsibility of the overall conference budget and execution of the events throughout the country.
Provided receptionist and administrative support to the Sime Darby Commercial Group Accounts team, managing internal sales account maintenance and processing for Truckstops and Hino Distributors. Handled external accounts payable reconciliation, filing, and ensured vehicle compliance by tracking registration and Road User Charges updates. Maintained vehicle registries and fuel accounts for all subsidiary companies, including reconciling fuel accounts for the nationwide Truckstops fleet. Performed data entry, filing, and archiving documents and provided general administrative support to the Sime Darby Accountants to support smooth operations.
